PMG Recruitment Services

Privacy Notice

1. Who we are

PMG Recruitment Services is a trading name of PKB Group (Pty) Ltd, a specialist recruitment agency established in 2008, with an office at 132 Athol Street, Waverley, Johannesburg, 2090. We are the “responsible party” for the personal information described in this notice, as defined in the Protection of Personal Information Act, 2013 (POPIA).

2. The information we collect

If you are a candidate:

  • your name, contact details and location;
  • your CV and everything in it, such as your work history, qualifications, skills, languages and driver’s licence;
  • information you choose to give us, such as your current salary, salary expectations, notice period and the kind of roles you want;
  • our notes from conversations and interviews with you, and your applications and their progress.

We do not ask for special personal information (such as health, religion or criminal records) unless a specific role legally requires it, and then only with your consent. Please don’t include your ID number or bank details in your CV unless an employer has asked for them.

If you are a client or website visitor:

  • your name, job title, company, work email and phone number;
  • the details of roles you ask us to fill;
  • if you download a guide or fill in a form, what you asked for and whether you want our market updates;
  • basic website usage information collected by cookies (see section 11).

3. Where we get it

  • from you, when you email us your CV, register on our website or speak to us;
  • from job boards and websites where you have applied for a role we advertised;
  • from people who refer you to us, such as a former colleague, with your knowledge.

4. How we use it

For candidates, we use your information to:

  • consider you for roles that match your experience and what you’re looking for;
  • contact you about opportunities and about your applications;
  • introduce you to prospective employers, always with your knowledge before we share your details for a specific role;
  • keep our records accurate and up to date.

For clients, we use your information to provide our recruitment services, respond to your requests and, if you have agreed, send you market updates.

We process your information because you have asked us to help you find work or fill a role, because it’s needed to carry out our services, because of our legitimate interest in running a recruitment business, or because you have consented. You can withdraw your consent at any time.

5. How we use AI tools

We use artificial intelligence (AI) tools to help us read CVs and organise our candidate database. For example, the tools pick out your job title, skills, qualifications and location from your CV, and suggest which candidates may suit a role.

  • AI only helps us sort and search information. A PMG consultant always reviews the results and makes every decision about who to contact or put forward.
  • We never make decisions about you based only on automated processing.
  • We send the AI service only what it needs, such as the text of your CV. The providers we use do not use your information to train their AI models.

6. Who we share it with

  • Prospective employers: we share your CV or a candidate profile with employers for specific roles, and we let you know before we do.
  • Service providers who help us run our business, such as our website host, email and database providers, and AI tools. They may only use your information to provide their service to us and must keep it confidential and secure.
  • Authorities, where the law requires us to.

We never sell your personal information.

7. Information sent outside South Africa

Some of our service providers store or process information outside South Africa. When this happens, we only use providers in countries with data-protection laws similar to POPIA, or who are bound by agreements that give your information the same level of protection, as section 72 of POPIA requires.

8. How long we keep it

We keep candidate information for up to 5 years after our last contact with you, so that we can consider you for future roles. Before that period ends we may contact you to ask whether you’d like us to keep your details. If you don’t reply, or ask us to remove them, we delete your information. We keep client and business records for as long as the law requires, such as for tax purposes.

9. How we protect it

Your information is stored in secure, password-protected systems that only authorised PMG staff can access. Connections to our website are encrypted. We regularly review who has access and remove information we no longer need.

10. Your rights

Under POPIA you have the right to:

  • ask what personal information we hold about you and get a copy of it;
  • ask us to correct or update it;
  • ask us to delete it;
  • object to us using it, or withdraw your consent;
  • stop receiving updates and opportunities from us at any time;
  • complain to the Information Regulator (see section 13).

Registered candidates can update or delete their details directly in the Candidate Portal. For anything else, email us (section 13). We’ll respond within a reasonable time and won’t charge you for a simple request.

11. Cookies

Our website uses cookies to work properly and to help us understand how visitors use it, for example which pages are popular. These don’t tell us who you are. You can block or delete cookies in your browser settings.

12. Changes to this notice

We may update this notice from time to time. The latest version is always on this page, with the date it was last updated.
